Who we are
Hotel Varhadi is a restaurant group in Pune, Maharashtra, which also runs the banquet hall Darja by Varhadi. In this policy, "we", "us" and "our" refer to Hotel Varhadi. This policy covers:
- our website, varhadi.com (Website); and
- our mobile app, Hotel Varhadi (package
in.hotelvarhadi.vendor), which our owners and outlet managers use to run our outlets (Mobile app).
Website: information we collect
We only receive the information you choose to share with us:
- Contact and enquiry forms. The contact form and the banquet enquiry form ask for details such as your name, phone number, email address, event date, guest count and message. These forms are not stored on our website. When you press send, your details are put into a WhatsApp message to our team, and nothing is sent until you choose to send it in WhatsApp.
- Phone calls, emails and WhatsApp messages you send us directly.
- Launch-update sign-up. Where the site asks for your email for launch or menu updates, we use it only to send you those updates.
Our website does not use cookies, advertising trackers or analytics tools, and does not ask you to create an account.
Website: how we use your information
- To reply to your enquiries and messages.
- To arrange table reservations, catering and banquet bookings, and to share quotes and event details.
- To send updates you have asked for.
- To process job applications sent to our careers email address.
We do not sell, rent or trade your personal information.
Website: third-party services
Some features of our website rely on services run by other companies, which have their own privacy policies:
- WhatsApp (Meta): used when you send an enquiry through our forms or message us.
- Google Fonts and Google Maps: used to display text and location maps. Your browser connects to Google's servers to load them, which shares technical information such as your IP address with Google.
- Instagram: if you follow links to our Instagram pages.
Mobile app: who uses it
The Hotel Varhadi app is an internal business tool. It is used only by Hotel Varhadi's owners and outlet managers to record purchases, vendor payments, daily sales, staff attendance and salaries. There is no public sign-up: accounts are created by Hotel Varhadi, and users sign in with the username and password they are given.
Mobile app: information we collect
About app users (owners and managers)
- Name, username, mobile number, email address, role and the outlets you are assigned to.
- Your password, which is used only to sign you in.
- A push-notification token for your device (from Firebase Cloud Messaging), so we can send you work alerts.
- The records you create or change in the app, such as purchases, payments, sales and attendance entries.
About our employees (entered by owners and managers)
- Name, mobile number, gender, photo and monthly salary.
- Aadhaar number and photos of the front and back of the Aadhaar card, which we keep for identity verification as an employer.
- Attendance, salary payments and salary advances.
About our vendors and suppliers
- Business name, contact person, mobile number, email address, address and GST number.
- Bank account details (bank name, branch and account number), used to pay them.
- Bills, purchase details, payment records and payment screenshots.
Business records
- Outlet details, daily sales figures and day-close records, expense categories and reports built from this data.
Mobile app: device permissions
- Camera: to take photos of vendor bills, deliveries, employee photos and Aadhaar cards. The camera is used only when you choose "Take a photo".
- Photos / files: to attach bill photos, payment screenshots and documents that you pick from your device. The app only reads the files you choose.
- Notifications: to show work alerts, such as payments due and day-close reminders. You can turn these off in your phone settings.
The app does not access your location, contacts, microphone, call logs or SMS.
Mobile app: how we use the information
- To run our outlets: recording purchases, paying vendors, tracking sales, managing staff attendance and paying salaries.
- To produce reports for the owners of Hotel Varhadi.
- To sign users in securely and to send work-related notifications.
- To meet our legal obligations as an employer and under tax and accounting law.
The app does not show ads and does not use analytics or tracking tools. We do not sell, rent or share this data with anyone for marketing.
Mobile app: where data is stored and who we share it with
- Microsoft Azure: the app's data and uploaded photos are stored on our servers hosted on Microsoft Azure.
- Google Firebase Cloud Messaging: used only to deliver push notifications to your device.
Inside Hotel Varhadi, data can be seen only by signed-in users with the right role: owners can see the outlets assigned to them, and managers can see only their own outlet. We may also disclose information when the law requires it.
Mobile app: security
All data travels between the app and our servers over an encrypted connection (HTTPS). Your sign-in session is kept in your phone's secure storage, and signing out removes it from the device. Access is limited by role. No system is completely secure, but we take reasonable steps to protect the information we hold.
Mobile app: account and data deletion
To delete an app account and its personal data, or to ask for an employee's or vendor's details to be deleted, email info@varhadi.com with the subject "App data deletion request". Include your name, username or mobile number. We will confirm your request and complete it within 30 days.
When an account is deleted we remove the user's personal details and push token. Business records that we must keep by law, such as bills, payments, sales and salary records, are kept for the period required by Indian tax and accounting law and then deleted.
How long we keep information
We keep website enquiry and booking details only for as long as we need them to respond to you, deliver your booking or event, and meet our legal and accounting obligations. We keep employee and vendor records while we work with that person or business, and afterwards only as long as the law requires. We then delete them.
Your rights
Under India's Digital Personal Data Protection Act, 2023, you may ask us to:
- tell you what personal information we hold about you;
- correct or update your information;
- delete your information, or stop sending you updates;
- withdraw any consent you have given us.

Children
Our website and app are not aimed at children, and we do not knowingly collect personal information from anyone under 18.

We may update this policy from time to time. The "Last updated" date at the top of this page shows when it was last changed.
